Employee Communications

INSIGHTS
According to a study conducted by the MSW Research and Dale Carneigie Training, employee engagement is impacted by various factors, the most important of them being the cultivation of work relationships through effective communication.
Employees tend to be more actively engaged in their work when they are provided with an environment that encourages open communication and warm collaboration.

Effective employee communication has always been an essential tool in developing strong working relationships and achieving productivity. Companies that invest energy and time into offering clear and precise lines of communication can swiftly build trust among their employees. It’s true that employee engagement has become more important in recent years with study after study being conducted in asserting its relevance. However, it is interesting to note that the key to effective employee engagement comes down to employee communication.

EMPLOYEE COMMUNICATION IS INDEED A CRITICAL FACTOR IN IMPROVING EMPLOYEE ENGAGEMENT
Companies, large and small, are investing enormous amounts of time and money on communication strategies to increase employee engagement. Yet, it was found that only 13% of employees in the United States are actively engaged, according to the 2016 Gallup study on Employee Engagement. This means that a whopping 87% of employees are disengaged, costing companies up to $550 billion in annual productivity loss. The primary reason for the failure of most engagement strategies and efforts is due to the fact that they are designed to develop internal communication and employee commitment in generic ways rather than cultivating multidimensional lines of communication between employees.

A study conducted in 2017 on employee benefits found that most of the reasons cited by the 34,000 respondents about changing jobs were due to unsatisfactory conditions in terms of work-life balance, compensation, manager relationships, and career development. All these reasons are “preventable” and can be tied back to the need for effective employee communication. Connection, communication, and engagement are the three most vital aspects for the growth of an organization, both internally and externally.

Most often, businesses chalk up employee engagement to salary (money) — employees do not engage as much as they are supposed to or leave the company due to the lack of promotion opportunities or there are better job packages elsewhere. However, a study conducted by the MSW Research and Dale Carnegie Training contradicted this particular theory, stating that apart from just money, there are three other stronger and more important factors that directly impact employee engagement — an employee’s trust in the company’s leadership, an employee’s relationship with the management team/supervisor, and the employee’s pride in being a part of the company. Of the three factors, it turns out that cultivating work relationships through proper, clear, and open communication is the core essence of improving engagement. A fact that every Human Resource (HR) manager must take note of.

It is essential to create an environment for employees that encourages them to naturally want to be involved in and care for the work they do in the company. Factors such as high involvement, job motivation, trust, commitment, and empowerment that are currently being focused upon by HR and management teams to drive employee engagement, all come down to “employee communication” at the root. For large companies, ensuring employees are aligned with the changing priorities of the business is also vital. This is precisely why internal communication is even more essential today.

IMPACT OF EMPLOYEE COMMUNICATION ON EMPLOYEE ENGAGEMENT

Employees who have the right information and instruction can do their jobs more effectively and efficiently. With proper communication, they will be able to greatly minimize wasting time and resources. Employees will know exactly what is expected to be done and will be able to prioritize their tasks according to the employer’s direction.

Encouraging proper employee communication can build a strong bond between the business and its employees. This becomes a positive cycle for overall progress. The company engages with its employees by communicating effectively with them and providing them with the environment that develops warm collaboration, which further leads them to become actively involved in the company’s mission. With proper communication, employees start to identify themselves with the company’s vision, values, and goals. They are then driven with enthusiasm to do better and become more engaged in every aspect possible.

HOW CAN HR TEAMS USE COMMUNICATION TO IMPROVE EMPLOYEE ENGAGEMENT?

To improve employee engagement is to improve employee performance and thereby actively improving the company’s financial success. There are various steps that employers can use to ensure better employee engagement through effective communication. The following are some key drivers presented by the report published by Gallup and Dale Carnegie on employee engagement -

Develop clear internal lines of communication and execute the strategy effectively within the company.
Enable and promote better organization transparency through communication.
Effectively communicate business plans and strategies to every member of the team.
Encourage open lines of communication within the company between employees.
Recognize the efforts made by employees on various grounds and reward them well.
Use collaborate tools such as Slack and Yammer, that ensure proper communication between employees and between members of different departments. Tools, drivers, and tactics can greatly benefit a business’s ability to be transparent, communicate, collaborate, recognize the achievements of employees, and garner effective feedback.
Encourage the use of social media as an effective tool for communication. It was found that over 82% of employees believe that their work relationships including communication can improve greatly through social media channels. This also contributes to improving employee engagement.

Fostering a clear environment with trust and quality communication can very well prevent irrelevant issues and in turn encourage effective engagement and performance. The founder of NorthWise Group, Todd Kemp, told Business News Daily that with clear and open internal communication between employees, organizations will be able to see work getting done faster, effectively, and efficiently.

Improving engagement is always at the forefront of management and HR initiatives which most often steers to reward schemes, training programs, countless surveys, and numerous meetings. However, the simplest way to improve employee engagement is to focus more on the lines of communication of everyday work.
